DocuTrack – How to

DocuTrack allows you to associate scanned documents with an existing Office Visit.
  1. Locating and Selecting Documents from Shared Drive
  2. Selecting a Patient Chart and Entering Additional Information

Locating and Selecting Documents to Import from Shared Drive

  1. Click on Path to find the folder which contains the files that need to be imported to the EMR. If you use the folder frequently you can use the dropdown field to select Path.
  2. Select the Folder and Click OK.
  3. Click on the File(s) to be imported from the Available files box. To select multiple files press and hold the Ctrl or Shift key while clicking.
  4. Click on the single arrow to import the selected files or click the double arrow if all available files need to be imported to the same patient chart.
  5. If importing a multiple page document use the Comment field next to Files to import to type a description and/or page number.

Selecting a Patient Chart and Entering Additional Information

  1. Once you have selected the files to import into the Patient’s Chart, Click on the Lookup Patient Button.
  2. Select one of the Criteria available under Search by.

  3. Search for the Patient using the Search bar and clicking the Find button.
  4. Once you’ve selected your patient from the results displayed click OK.
  5. Select the Document Type, Clinical Date and change or add Summary if needed.
  6. Select the Appropriate checkboxes and change the Document Sensitivity if needed (defaults to Normal).
  7. To route a document to a provider select the Carbon copy checkbox, select one or more Provider from the dropdown list and click OK.
  8. Review the patient information to ensure you are attaching the files to the correct Chart and add any additional comments to the Text tab.
  9. To attach files to an existing document read the next section or if ready to import as a new document click Import Document.

EMR Announcements

There are currently 3 EMR Announcements:
  1. We are now live with UMC Labs.  Please start using UMC Lab instead of Other Labs on EMR-Link when printing UMC Order Requisitions.
  2. Printer names have been shortened and Task based printing is now saving printers properly when using Thin Clients.
  3. The Disconnect and Reconnect commands from Citrix are no longer available.

When giving immunizations use the quicktext .consultvac to be able to charge for a higher level of service when giving a vaccine.

.consultvac Counseling provided to parent/guardian regarding the risks and benefits of vaccines administered to the patient at the time of the visit.
.iud A speculum was inserted in the vagina and the cervix was visualized. The cervix was cleaned with iodine swabs x 3. A single tooth tenaculum was placed on the anterior portion of the cervix. The uterus was sounded to 8cm. IUD was placed easily. Good hemostasis achieved at the tenaculum site using silver nitrate. All instruments were then removed from the cervix and vagina. Pt tolerated the procedure well.
.ant Anticipatory guidance was given to the patient's parent.

EMR Known Issues

There are currently 3 EMR Known Issues:
  1. Some e-prescribed medications are not going through when sending to the UMC pharmacy. If this happens please e-mail elpasoemr@ttuhsc.edu with the subject “Prescription Error” and please include the MRN, Provider Name, and the medication code in the body of the e-mail.
  2. E-prescribed sends duplicate responses to prescriptions that did not go through. If this happens to you please send us a screenshot to elpasoemr@ttuhsc.edu .
  3. The computer in the conference room in UMC has no access to CEMR. We are working with UMC to resolve this issue as soon as possible.
As always we are working to resolve these issues in a timely fashion and will keep you updated on their status.
